    Which mode to use? Use AI Scan Mode for scanning invoices (Electricity, Gas, Fuel, Water, Waste). Use Manual Entry Mode for Working Conditions, Employment, Payment Transparency and Finance data. Scanned categories map primarily to VSME B3 (Energy & GHG Emissions), B6 (Water & Marine Resources) and B7 (Resource Use, Circular Economy & Waste); manual-entry categories feed B8 (Workforce — General), B9 (Workforce — Health, Safety & Training), B10 (Workforce — Pay, Training & Living Wage) and B11 (Convictions & Fines).

    Carbon Footprint Calculator

    ESGdesk™ includes a built-in Carbon Footprint Calculator that automatically computes CO₂e emissions from your entered ESG data across all locations and categories.

    The calculator covers:

    • Scope 1 (direct): gas, fuel, company vehicles
    • Scope 2 (indirect): purchased electricity and heating
    • Scope 3 (value chain): waste, water, business travel
    • Intensity metrics: tCO₂e per employee (FTE), per m², per revenue
    • Year-over-year comparison with trend analysis

    All calculations use country-specific emission factors from the Methodology Data. Results are rounded to ISO 14064-1 standards (2 decimal places for tCO₂e).

    Renewable Energy Sources (RES)

    Track on-site renewable energy production and calculate the renewable share of your energy consumption. ESGdesk™ supports three types of renewable energy sources per location.

    Supported sources:

    • Solar PV — configured by installed capacity (kWp) with country-specific solar yield
    • Wind — configured by installed capacity (kW) with country-specific capacity factor
    • Bioenergy — configured by annual output (kWh) with global capacity factor (default 0.90)
    • Automatic calculation of renewable energy share percentage

    RES data feeds directly into the Carbon Footprint and is included as a dedicated chapter in both Management Extract and Audit-Ready reports.

    Track Data Input Progress in Real-Time

    ESGdesk™ provides a dedicated Data Input Progress dashboard that gives Admins and Contributors visibility into the status of ESG data collection across the organization.

    The Progress dashboard includes:

    • visual heatmap showing completion by location and section
    • completion percentages with progress charts
    • filters to view progress by location, category, or contributor
    • identification of gaps and stale data entries

    Admins see progress across all locations; Contributors see only their assigned areas.

    Two report types

    Management Extract (Standard plan)

    • Coverage: 11 VSME disclosures (B1-B11) + Universal Appendix A1-A2 (VSME Standard reference + Files Evidence inventory).
    • Use case: day-to-day internal reporting, B2B questionnaires, banking and procurement requests.
    • Excluded: the audit-only appendix sections A3-A5 (reserved for PRO).

    Audit-Ready Report (PRO plan)

    • Coverage: the same 11 VSME disclosures (B1-B11) + the full Appendix A1-A5 (Universal A1-A2 plus Audit Trail A3, ESRS Mapping A4, Methodology A5).
    • Use case: assurance partner review, CSRD value-chain disclosure requests, board-level audit defensibility.
    • Extras: locked dataset per closed Reporting Year, SHA-256 integrity hash, Snapshot Closure Timestamp, Methodology Version recorded.

    Both report types include

    Appendix Structure

    Universal Appendix — included in both Management Extract and Audit-Ready Report (2 sections):

    • A1 · VSME Standard — Regulatory background of the VSME Standard developed by EFRAG, with EFRAG approval (13 November 2024) and European Commission Recommendation 2025/1710 (30 July 2025).
    • A2 · Files Evidence — Inventory of uploaded supporting documents with file names, categories, upload timestamps, and SHA-256 hashes per file.

    Audit-only Appendix — Audit-Ready Report only (PRO plan, 3 sections):

    • A3 · Audit Trail — Append-only log of who entered, edited, and approved each value, with UTC timestamps.
    • A4 · ESRS Mapping — Cross-reference of every VSME disclosure to the corresponding ESRS data point.
    • A5 · Methodology — Snapshot of emission factors, calculation formulas, and methodology dataset version used for this report.

    Use the AI Executive Summary Generator to create a professional narrative summary of your ESG performance. You can refine, edit, translate, and include it in your final report.

    PDF provides professional formatted reports. CSV enables detailed data analysis and audit integration.

    Audit-Ready Reports (PRO)

    For organizations requiring audit-grade ESG documentation, the PRO plan provides Audit-Ready reports with full data integrity controls.

    PRO report features:

    • Locked report containing all 11 VSME Basic Module disclosures (B1–B11) — no selective data exclusion
    • Audit appendix included: Audit Trail (A3), ESRS Mapping (A4), Methodology (A5)
    • SHA-256 integrity hashing for report and dataset verification
    • Evidence file registry with individual file hashes
    • Methodology version control with locked snapshots
    • Requires a closed Reporting Year for generation

    Audit-Ready reports use the terminology "audit-ready" or "audit-ready." ESGdesk™ does not claim official ISO certification — it provides the technical framework to support audit readiness.

    PRO

    Auditor Portal (PRO)

    PRO plan users can grant time-limited, read-only access to external auditors through a dedicated Auditor Portal.

    Portal features:

    • Time-limited access with configurable expiration dates
    • Read-only view of ESG data, reports, and evidence files
    • Auditor session tracking with IP logging
    • Revocable access — admins can revoke at any time

    Auditor access is strictly separated from user accounts. Auditors cannot modify data.

    Context Where It Matters, Data Where It Doesn't

    Administrators can add optional explanatory notes at section level to provide context where needed.

    This allows teams to:

    • explain unusual values
    • clarify assumptions
    • document internal context

    If no notes are added, reports remain purely data-driven. ESGdesk™ never forces narrative where it is not required.

    Methodology Data

    ESGdesk™ allows Account Admins to review and customize the emission factors and calculation parameters used across all reports. This ensures your reports reflect your organization's specific context and methodology requirements.

    Configurable parameters include:

    • Country-specific electricity emission factors (kg CO₂e/kWh)
    • Gas, fuel, water, and waste emission factors
    • Per-year or global overrides for all reporting periods
    • Reference view of employment and financial calculation formulas
    • RES parameters: Solar yield (kWh/kWp), Wind capacity factor, Bioenergy capacity factor
    • Country-specific RES factor mappings for renewable energy share calculations

    Changing emission factors will recalculate Carbon Footprint and ESG Financial Performance results. All changes are tracked and can be reset to platform defaults at any time.
