    How ESGdesk™ Works

    ESGdesk™ is a software tool that helps organizations collect, structure, and internally report ESG data across multiple locations — without consultancy, spreadsheets, or fragmented workflows. The workflow below produces a VSME-aligned report covering disclosures B1-B11 — the EFRAG Voluntary SME Basic Module — ready for B2B questionnaires, lender requests, or assurance partners (PRO).

    Create Your Company Workspace

    Start by creating a secure company workspace. Each workspace represents one legal entity and can include multiple locations, sites, or operational units.

    You define your company structure, reporting locations, and internal users and roles. There is one production environment, ensuring data consistency and audit safety.

    Assign Roles and Locations

    ESGdesk™ uses clear, role-based access control. Admins manage users, locations, and reporting years. Contributors enter data only for assigned locations. Auditors can be invited with time-limited, read-only access to review ESG data across all locations.

    This ensures separation of responsibilities, controlled data access, and reduced risk of internal errors. Each user sees only what they are allowed to see.

    Admins can also send Completion Requests to Contributors, specifying the year, location, section, and deadline. This helps coordinate ESG data collection across teams.

    Select the Reporting Year (Your Working Context)

    The Reporting Year is the core working context in ESGdesk™. You select the year you are currently working on and the platform adjusts visibility and editability automatically.

    Closed years become read-only. This lets teams work on the current year, review previous years, and avoid accidental changes to finalized data.

    Enter ESG Data by Section

    Data entry is structured, modular, and location-based. ESGdesk™ supports: Energy, Water, Waste, Working Conditions, Employment, and Finance.

    Each section is entered per location, follows a consistent structure, and can include section-specific explanatory notes.

    You can enter data manually or use AI-Assisted Imports to extract values from utility invoices automatically.

    **AI Scan Mode** is designed for scanning invoices for Electricity, Gas, Fuel, Water, and Waste. **Manual Entry Mode** is used for Working Conditions, Employment, and Finance data, which are typically not invoice-based.

    These data sections feed the relevant VSME disclosures: Energy → B3 (Energy & GHG Emissions), Water → B6 (Water & Marine Resources), Waste → B7 (Resource Use, Circular Economy & Waste), Working Conditions → B9 (Workforce — Health, Safety, Training), Employment → B8 (Workforce — General), Finance → B10 + B11.

    AI-Assisted Document Imports

    Speed up data collection with AI-powered document scanning. Upload utility invoices, fuel receipts, or waste manifests — and let AI extract the values automatically.

    The extracted data is previewed for your review before being saved. Evidence files are attached automatically to the corresponding monthly record.

    Control Data Quality with Year Closure

    Once data for a Reporting Year is complete, the Admin can close the year. All data becomes read-only and Contributors can no longer edit values.

    If needed, an Admin can reopen the year — deliberately.

    Track Data Input Progress

    The Data Input Progress dashboard provides Admins and Contributors with a real-time view of ESG data collection status across all locations and sections.

    Visual heatmaps, completion percentages, and actionable insights help teams identify gaps and prioritize data entry efforts.

    Analyze ESG Data Trends

    ESGdesk™ provides two powerful analysis tools for understanding ESG performance:

    **ESG Data Analysis** — An executive dashboard showing KPIs, trends, and year-over-year comparisons across Energy, Water, Waste, Working Conditions, and Employment. Admins see all locations; Contributors see only their assigned locations.

    **Location Comparison** — A side-by-side benchmarking tool for comparing ESG metrics across multiple sites. Available only to Admins when two or more locations exist.

    Preview Reports Before Export

    Reports are structured and section-based, generated directly from entered data, and previewable inside the platform.

    ESGdesk™ offers two report types: • Management Extract (Standard & PRO) — a structured internal report previewable through a read-only Table of Contents. Includes universal chapters A1-A2 (VSME Standard + Files Evidence). • Audit-Ready Report (PRO only) — full dataset with locked methodology snapshot and complete appendix A1-A5 (adds Audit Trail, ESRS Mapping, and Methodology). Requires a closed reporting year.

    You can review values, structure, and notes per section before exporting to PDF or CSV.

    Export Reports (PDF & CSV)

    ESGdesk™ supports two export formats: PDF for professional formatted reports and CSV for data analysis. Both export options require an active subscription and are available only to Administrators.

    • Standard plan — Management Extract: includes universal chapters A1-A2 (VSME Standard + Files Evidence), structured under a read-only Table of Contents. • PRO plan — both Management Extract AND Audit-Ready Report. The Audit-Ready Report includes the full dataset, evidence registry, audit trail, report integrity metadata, versioned methodology, and the complete appendix A1-A5. It requires a closed reporting year and always exports the full dataset.

    Export is available for the current year and up to five years of history (from 2024 onward).

    Methodology Data

    Every ESGdesk account has read-only access to the active methodology dataset used for emission calculations — country-specific electricity grid factors, fixed emission factors for fuels and waste, renewable energy (RES) seasonal profiles per climate region, and the underlying calculation formulas. The dataset is versioned per methodology year and locked into each closed reporting year (snapshot), so historical reports stay reproducible even if methodology is updated later.

    • Transparent, scientifically-sourced emission factors (EEA, UK DEFRA, JRC PVGIS, IRENA)
